Welcome to iHRMPlus.

These Terms & Conditions (“Terms”) govern your access to and use of the iHRMPlus cloud-based Human Resource Management System (“iHRMPlus”, “Service”, or “Solution”) provided by iHRMPlus (“we”, “us”, or “our”).

By accessing, subscribing to, or using iHRMPlus, you agree to these Terms. If you do not agree with these Terms, please do not use the Service.

1. About iHRMPlus

iHRMPlus is a cloud-based Human Resource Management System designed to help businesses manage their HR operations, including:

  • Employee records
  • Attendance management
  • Leave management
  • Payroll management
  • Performance management
  • Asset management
  • Training management
  • Reporting and related HR functions

The features available depend on the selected subscription plan and quotation. iHRMPlus is provided directly by iHRMPlus to the business customer. The Customer’s agreement and commercial relationship for the iHRMPlus Service is with iHRMPlus and not with any third-party software or product provider.

2. Subscription and Access

iHRMPlus is provided on a subscription basis. Your subscription may be based on the number of employees, users, modules, or other pricing arrangements stated in your quotation or subscription plan.

We grant you a limited, non-exclusive, non-transferable right to access and use iHRMPlus for your internal business purposes during your active subscription period.

We may update or improve iHRMPlus from time to time, including adding, modifying, or removing features where reasonably necessary to maintain or improve the Service.

3. Customer Responsibilities

You are responsible for:

  • Providing accurate information when registering and using the Service.
  • Keeping account credentials secure and giving access only to authorised users.
  • Ensuring information entered into iHRMPlus is accurate and up to date.
  • Using the Service only for lawful business purposes.
  • Ensuring employee and personal information uploaded to iHRMPlus has been collected and provided lawfully.
  • Reviewing important HR, payroll, attendance, leave, and other records before relying on them for business or statutory purposes.

You must not misuse, interfere with, reverse engineer, copy, resell, or attempt to gain unauthorised access to iHRMPlus.

4. Fees and Payment

Subscription fees are based on the pricing stated in your quotation, order, or subscription plan.

  • Fees are payable according to the agreed billing period.
  • Additional users, employees, modules, or services may incur additional fees.
  • Fees already paid are non-refundable unless otherwise agreed in writing.
  • Applicable taxes will be charged in accordance with applicable laws.

5. PSG Grant

Where iHRMPlus is purchased under the Productivity Solutions Grant (PSG) or another applicable government support programme, the following applies:

  • The Customer’s agreement for the iHRMPlus Solution is directly with iHRMPlus.
  • We will provide the quotation, supporting documents, and service information reasonably required for the Customer’s grant application.
  • Grant approval is determined by the relevant government agency and is not guaranteed by us.
  • The Customer is responsible for ensuring that its grant application and supporting information are accurate.
  • The Customer must comply with all applicable PSG requirements and conditions.
  • The Customer remains responsible for any fees or costs not covered by the approved grant.
  • Any grant funding or reimbursement is subject to the applicable government agency’s approval, policies, and requirements.

PSG funding does not create a contractual relationship between the Customer and any third-party software or product principal.

6. Implementation and Training

Where included in the selected package, we may provide implementation, system configuration, onboarding, and user training.

The Customer is responsible for providing the information and cooperation reasonably required for implementation.

Services outside the agreed package may be subject to additional charges.

7. Service Level Agreement (SLA)

We provide technical support during Monday to Saturday, 9:00 AM – 6:00 PM Singapore Time (GMT+8).

Support may be provided through email, WhatsApp, or other support channels made available by us. We use reasonable efforts to respond to and resolve reported issues according to the following target framework:

  • Critical (Severity 1): Service is substantially unavailable or a critical business function is not working. Target initial response: within 2 business hours. Target workaround or resolution: within 8 business hours where reasonably practicable.
  • High (Severity 2): A major function is affected but the Service remains usable. Target initial response: within 4 business hours. Target resolution or workaround: within 2 business days where reasonably practicable.
  • Normal (Severity 3): Minor issue, question, or non-critical functionality. Target initial response: within 1 business day. Target resolution: within 5 business days where reasonably practicable.

Response and resolution targets are service targets rather than guarantees and may depend on the complexity of the issue, information provided by the Customer, and third-party systems.

We will provide reasonable updates on unresolved issues and may request additional information, access, screenshots, or other assistance from the Customer.

Support does not cover problems caused by the Customer’s devices, internet connection, misuse of the Service, unauthorised modifications, or third-party systems outside our control.

8. Service Availability

We will use reasonable efforts to keep iHRMPlus available and operational, with a target service availability of at least 99%, excluding scheduled maintenance and circumstances beyond our reasonable control.

Temporary interruptions may occur due to scheduled maintenance, security updates, system upgrades, technical issues, or circumstances beyond our reasonable control.

Where practical, we will provide advance notice of planned maintenance.

9. Customer Data and Data Ownership

You retain ownership of all business, employee, payroll, attendance, leave, and other information that you upload or enter into iHRMPlus (“Customer Data”). iHRMPlus does not claim ownership of Customer Data.

13. Confidentiality and Security

We will treat non-public business information and Customer Data received from the Customer as confidential.

We will not disclose Customer Confidential Information or Customer Data to any third party except where:

  • The Customer has given permission.
  • Disclosure is required by law or a lawful authority.
  • Disclosure is necessary to provide, maintain, secure, or support the Service.
  • Disclosure is made to authorised employees, contractors, hosting providers, or service providers who need the information to perform services and are subject to appropriate confidentiality obligations.

15. Renewal

Your subscription will renew according to the subscription period stated in your quotation or subscription plan.

Unless otherwise agreed, either party may choose not to renew by providing at least 30 days’ written notice before the end of the current subscription period.

Renewal fees may be based on our then-current pricing.

16. Suspension and Termination

We may suspend or terminate access to iHRMPlus if:

  • You materially breach these Terms.
  • You fail to pay fees when due.
  • You use the Service unlawfully or in a way that may harm the Service or other users.
  • Your continued use creates a security or operational risk.

Where appropriate, we will provide reasonable notice and an opportunity to remedy the issue.

You may stop using the Service and terminate your subscription in accordance with the applicable subscription terms.

17. Data After Termination

After termination, you may request access to or export your Customer Data within 30 days.

After this period, we may delete your Customer Data from our active systems, except where retention is required by law or reasonably necessary for legitimate business or legal purposes.

Additional data migration or export services may be subject to reasonable charges where they fall outside the standard Service.

18. Limitation of Liability

We will provide iHRMPlus with reasonable care and skill.

To the extent permitted by law, we are not responsible for indirect, incidental, special, or consequential losses, including loss of profits, revenue, business opportunities, or goodwill.

We may update iHRMPlus and these Terms from time to time to reflect improvements, changes in technology, business practices, or legal requirements.

Where changes are material, we will make reasonable efforts to notify users.

Continued use of iHRMPlus after the updated Terms take effect means that you accept the updated Terms.

20. Governing Law

These Terms are governed by and interpreted in accordance with the laws of Singapore, unless otherwise required by applicable law or agreed in writing.

Any dispute relating to these Terms should first be addressed through good-faith discussion between the parties.
